The opportunity:

At Sephora, our Receptionist/ Admin Assistant is the first point of contact of the office for employees, business partners and visitors. They handle a wide range of inquiries and requests. We are ideally looking for someone who has the passion to play the critical role of being our corporate ambassador – being the first face & interaction point when any visitor sets foot at our office!


Job Responsibilities:

Full spectrum of reception and administrative duties including:

  • Managing and keeping track of office security access cards on a daily regular basis for team members/visitors.

  • Assist visitors at reception >

    • Acknowledge all visitors promptly

    • Generate Guests Wi-Fi password upon receiving request.

    • Prepare beverages for visitors when necessary

  • Greet visitors and answer phone calls at front desk in a friendly, energetic and polite manner

  • Handle incoming & outgoing mails/parcels, local and overseas courier services, record keeping, disseminating of posts/letters to respective personnel/department

  • Attending to bulky deliveries via cargo lift and notifying the team member of the arrival of deliveries

  • Ensure reception area and meeting rooms are kept tidy and neat at all times

  • Maintenance of office meeting rooms (seating capacity, refill of stationery items, housekeeping)

  • Assist with maintenance of First Aid boxes and storage record of office keys

  • Assist in conference call bookings and arrangement when required.

  • Liaising with vendor on maintenance servicing for office equipment (eg. photocopier, water dispenser, coffee machine, faulty lighting/doors/windows and any misc. maintenance issues etc)

  • Assist and manage with office stationery & pantry supplies (Bi-weekly prepare purchase orders, submit invoice - pantry, coffee, water, disposal, cleaning, florist, stationery, courier, name card)

  • Assisting HR team with generating new hires employee badge with photo (onboarding) and managing offboarding employees badge return.

  • Ordering of Employee Relations hamper (condolence, newborn and others) upon HR email request

  • Seeking IT Support’s help for any technical issues (copier, printer, connection etc) that arise

  • Event management and assisting with coordination (logistics for conferences, team parties).

  • Other ad-hoc duties as assigned by Admin/HR Manager


Requirements:

  • Strong work ethics - uphold punctuality, responsible in attendance and good time & task management skills.
  • Able to comply with the required working hours (Mondays to Fridays, 8.30am to 6pm (inclusive of lunch breaks), 5-day work week in office.
  • At least 5 years of relevant working experience in a similar field
  • Able to handle ambiguity and manage confidential information with integrity
  • Good communication skills (both written and spoken), good phone etiquette, customer service-oriented attitude, meticulous and takes initiative.
  • Able to physically manage the receipt & placements of cartons/ parcels for courier services”
  • Have great sense of urgency and able to multi-task in a fast-paced environment
  • Preferably candidates who have completed Higher Secondary Education/ Tertiary Education and have good computer application knowledge (eg., Excel, Words, Power Point, etc.)
